Job Overview
We are seeking a highly organized, proactive, and detail-oriented Office Administrator to support our daily operations and ensure the smooth functioning of our office. The successful candidate will play a key role in maintaining administrative systems, coordinating communications, and providing support to management and field teams.
Key Responsibilities
- Serve as the first point of contact for visitors, clients, and vendors; manage phone calls and emails.
- Maintain office supplies, equipment, and overall office organization.
- Schedule and coordinate meetings, appointments, and events for internal teams.
- Assist with preparing reports, company documents, memos, and presentations.
- Maintain accurate filing systems (physical and digital) including project documentation.
- Support HR processes including onboarding, timesheet tracking, and employee record maintenance.
- Liaise with accounting to assist with invoice processing, expense tracking, and payroll coordination.
- Maintain up-to-date records for licenses, certifications, safety training, and compliance documents.
- Help prepare materials for health and safety meetings and inspections.
- Provide administrative support to executive leadership and project managers as needed.
Qualifications
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Ability to handle confidential information with discretion.
- Familiarity with construction industry practices or documentation is a strong asset.
